What is Whistleblowing?
Whistleblowing refers to the act of an employee reporting illegal, unethical, or improper conduct within their organization to authorities or other relevant parties. This can include reporting issues such as fraud, corruption, harassment, safety violations, or other misconduct.
Whistleblowers often face significant risks, including retaliation from their employers' colleagues, or business parties which can lead to job loss, damage to their reputation, or even personal harm. To encourage whistleblowers to come forward and protect them from retaliation, our company has implemented a whistleblowing policies and procedures manual along with a whistleblowing form. These resources are designed to offer legal safeguards and avenues for reporting misconduct, as well as addressing concerns associated with whistleblowing.
Kajima Malaysia Whistleblowing Policy and Procedures
At Kajima Malaysia, we are dedicated to upholding the highest standards of ethics, integrity, and compliance with all applicable laws and regulations. We recognize the importance of providing a safe and secure environment for our employees to report concerns about illegal, unethical, or improper conduct within the organization. Our whistleblowing policies and procedures, in accordance with the Whistleblower Protection Act 2010, are designed to encourage individuals to come forward promptly and confidentially with such concerns.
Policy & Procedures Statement:
1. Reporting Mechanisms
- a) Employees are encouraged to report any concerns about illegal, unethical, or improper conduct directly to their immediate supervisor, the Human Resources section, or any member of the management team.
- b) Alternatively, individuals have the option to report their concerns via our website. They can do so by submitting a report using the whistleblowing form provided on the website and the form will be submitted to whistleblowing@kajima.com.my.
- c) Individuals wishing to report on company directors can indicate their preference by clicking on the checkbox provided in the whistleblowing form and the form will be automatically submitted to whistleblow_report@kajima.com.sg.
- a) When making a report, please provide as much detail as possible if you choose to be
non-anonymous, including:
i. The nature of the concern or misconduct observed.
ii. Date, time, and location of the incident (if applicable).
iii. Names of individuals involved or witnesses to the incident (if known).
iv. Any supporting documentation or evidence available. - b) Reports should be factual and objective, avoiding speculation or personal opinions.
- c) If submitting a report anonymously, make sure not to include any identifiable information that could reveal your identity.
- a) All reports of misconduct will be handled with the utmost confidentiality to the extent possible, consistent with conducting a thorough investigation.
- b) Information about the whistleblower’s identity will be disclosed only to those individuals responsible for investigation and resolving the reported concerns.
- a) Kajima Malaysia strictly prohibits retaliation against any individual who reports concerns in good faith.
- b) Any form of retaliation against whistleblowers will be subject to disciplinary action, up to and including termination of employment.
- a) Upon receiving a report of misconduct, the company will promptly investigate the matter in a fair, impartial, and thorough manner.
- b) Employees involved in the investigation process will be informed of the progress and outcome of the investigation to the extent possible and appropriate.
- a) Kajima Malaysia is committed to protecting the confidentiality and anonymity of whistleblowers to the fullest extent permitted by law, as outlined in the Whistleblower Protection Act 2010.
- b) Whistleblowers who believe they have faced retaliation for reporting concerns are encouraged to report such retaliation immediately.
- a) These whistleblowing policies and procedures will be reviewed periodically to ensure their effectiveness and compliance with applicable laws and regulations, including the Whistleblower Protection Act 2010.
- b) Any updates or revisions to these policies and procedures will be communicated to all employees and stakeholders accordingly.
